Be a Vendor at the Pride Festival!

Vendor Requirements & Specifics

Your space is 10’x10’ (or 10’x20’ if you signed up for two spaces). We have created a map that we will hand out with a packet of information, listing your business and space number so you will easily find where you can set up. There will be volunteers to steer you in the right direction.

Load in starts at 10:30am. You cannot drive on the grass at Riverwalk Park to load or unload. The best place to load will be in the parking lot directly behind Ace Hardware and Local Myth Pizza.

From 10:30-11:30am, we will have an area sectioned off for off-loading only, please keep the flow of traffic going by limiting your time in the off-loading zone to 5 minutes. A dolly cart and helping hands is recommended!!

There will be bilingual people on-site to show you where your space is, as well as answer any questions you may have. Spanish speaking volunteers will have a name tag sticker that says “interpreter”.

The vendor festival starts at 12pm and ends at 4pm. We ask that no one packs up and leaves until 4pm.

If you have a special circumstance, please let us know ASAP so we can move your space to an end point so it does not disturb the flow of traffic or affect other vendors.

Canopy tents are not required, but are heavily recommended as it is June and some parts of Riverwalk Park do not offer sufficient shade. This festival happens rain or shine! If you bring a canopy tent, please bring tent weights. Please ensure your canopy is 10x10 so that it fits in your designated space.

If you are a food vendor, and you haven’t already, please provide a copy of your health permit to Jenna@ChelanPride.org.

If you are vending under a canopy tent and cooking food, your canopy must be fireproof and there must be proof of the fire resistance. There will be an inspection by the city day of the event. If you are not cooking food, it is not required to be fireproof.

Tables and chairs are not provided, so please make sure you have the appropriate equipment.

There will be no Wi-Fi so please take that into consideration when planning your needs.

Power will be provided ONLY with approval prior to June 8th. Let us know as soon as possible so that we can insure the appropriate placement for your booth. Please bring your own extension cords and safety flags to mark extension cords.

You will also receive Chelan Pride’s code of conduct, which we expect all vendors to follow. We also want to underscore how to treat a protester.

Do not engage with the protesters. If a protester is in any way harassing you, please find a pride representative at Pride HQ, which will be at the entrance of Riverwalk Park on the corner of S. Emerson St. and E. Wapato Ave.

We don’t believe this will be an issue, but if it is, we ask that you not engage. We want the focus of Chelan Pride Festival to be on love and community, not giving protesters a platform for their dog whistles and hatred. There will be security in place to handle such matters.

Vendor Frequently Asked Questions

Can you drive to load/unload on lawn?

No motorized vehicles on the grass under any circumstances. Dollys and carts are recommended.

Where do I go to check in?

When you arrive, check in at Chelan Pride HQ, located at the entrance of Riverwalk Park on the corner of E. Emerson St. and E. Wapato Ave. You will be assigned your booth number at that time.

What time does load in start?

Off loading zone will be open from 9am-11am only, limit your time in the off-loading zone to 5 minutes.

What happens if I’m running late? Can I still load in?

Setup is cut off at 11:30am. Please be ready and on time! You will be turned away after 11:30am

and doing so will result in a forfeit of your booth fee. If there is an emergency, please call Jenna at (425) 577-9031 and we will do our best to work with you.

What is the earliest I can pack up?

4:00pm unless you’ve already spoken to Chelan Pride.

Will there be someone to cover my booth if I have to use the restroom?

No. Chelan Pride volunteers will not be providing coverage for booths. Please plan accordingly.

Typically, neighboring vendors are willing to oversee short breaks, so make friends with your neighbors!

Will there be someone to help me load/unload?

There is no one specifically dedicated, so please plan accordingly: however, if our volunteers have finished setting up the stage and Pride activities/tables - there may be some available.

If I can’t find someone to walk me to my space, how easy is it to find my booth?

Vendor numbers are sequential, and your spot will be labeled in the grass with spray paint and on the vendor map.
